A North American mutual insurance company with commercial, farm, automobile and personal insurance products performed thousands of new and updated insurance applications, property appraisals and property inspections every year. Company staff traditionally completed these processes using paper forms, with the goal of collecting sufficient information to identify risks, accurately estimate value and allow underwriting. These forms were relatively complex, incorporating many different types of data including large amounts of handwritten information, notes and comments, and digital photos.
Paper application, appraisal and inspection processes were inefficient, slow and costly in providing data for underwriting and approval.
Upon completion, information from the paper forms was manually keyed into the company’s computer system. Questions about missing information, unreadable entries and inconsistent data resulted in delays in processing until the field representative could be consulted for clarification. Using paper forms for these processes had become increasingly cumbersome as the company grew and form volume increased. The company’s IT staff needed a better way to quickly collect more accurate information and get it into electronic format, in a user-friendly way.
